Club finances that manage themselves

Fees invoice themselves, incoming payments reconcile themselves, and when the auditors come, every entry is right there. Volunteering should not mean spreadsheet duty.

Membership fees as subscriptions — set up once, never touch again

Create the fee once as a recurring invoice — monthly, quarterly or yearly. Accountix generates the next invoice automatically on schedule and, if you wish, emails it straight to the member.

Fee change decided at the general meeting? Edit one field — the new amount applies from the next period. Member left? End the subscription, done.

Who has paid, who hasn't?

Connect the club's bank account via FinTS/HBCI (the German banking standard): incoming payments are matched to open fee invoices automatically. The board sees at a glance which fees are outstanding — no more retyping bank statements.

  • Automatic matching on reference, amount and name
  • Friendly payment reminders on demand or automatically — with club-appropriate wording
  • Open-items list exportable at any time

An audit without cold sweat

Every change lands in an immutable audit log, receipts are preserved in the original (GoBD-compliant, ten years), and treasurer and board work with separate logins instead of one shared password.

If the club works with a tax advisor — say, for its commercial operations — the DATEV export delivers posting batches and receipts in the format German tax firms expect.

Frequently asked questions

What does Accountix cost for a small club?

The Solo plan at 15 euros per month covers most clubs: one user, 50 invoices per month. More board members with their own logins come with the Business plan. The first 14 days are free.

Do we have to send our members e-invoices?

No. The German e-invoicing mandate concerns invoices between businesses. Members receive a normal PDF invoice by email — and should the club ever bill a company, Accountix produces a compliant e-invoice on request.

We track fees in Excel today. How does the data get in?

Import existing invoices via drag and drop; add members as customers individually or via import. From then on, the subscription handles the recurring billing.
