Receivables management that works nights
Overdue invoices get chased without anyone remembering to. Several entities run in one account. And the books go to your tax firm as a DATEV export, not a shoebox.
Dunning: switched on, taken care of
The four-stage dunning system watches every open invoice: payment reminder, first and second demand letter with statutory default interest under German law, finally the collection notice — each stage with configurable deadlines and its own wording, sent automatically and on time.
The final stage leaves the house only after your explicit approval — automation yes, loss of control no.
Several companies, one account
Holding, operating company, property entity: every legal entity gets its own letterheads, logos, bank details, numbering series and VAT IDs — cleanly separated, without logging in three times. Users only see the entities they are authorized for.
E-invoicing and banking: both built in
Every outgoing invoice can be an EN 16931-compliant Factur-X/ZUGFeRD PDF — validated, ready to send, archived tamper-proof. Incoming invoices arrive automatically via an email inbox.
Company accounts connect via FinTS: incoming payments reconcile automatically, and approved payables can be paid directly from Accountix via SEPA transfer — your bank confirms with a TAN or second factor.
Frequently asked questions
How granular are user permissions?
Users are administrators or operators and are assigned to entities via groups. Every action is recorded in an immutable audit log. Sign-ins are protected by a second factor (email code or authenticator app).
Where does our data live?
On servers in Germany (Frankfurt/Falkenstein), personal data AES-256-encrypted, daily encrypted backups with GoBD-compliant retention. A data-processing agreement under Art. 28 GDPR is part of the contract.
How does our accounting department get the data?
Via DATEV export: posting batches (EXTF) with German SKR 03/04 charts, debtor numbers and cost centers, plus receipts as PDFs — on demand or automatically every month to your tax firm.
